Challenge
The producer tracked winemaking in Vintrace, financials in MYOB, distributor allocation in three separate spreadsheets, and cellar door sales in a disconnected Square terminal. Wine Australia Export Approval paperwork was rebuilt by hand for every consignment, taking the export coordinator two days per market release. Vintage cost per label was reconciled three months after bottling, so margin decisions ran on stale data. Double-allocation of premium Shiraz to two different export markets triggered a distributor complaint that almost cost a long-standing UK account.
Solution
We integrated Vintrace with Business Central so winemaking, finance, and inventory run off a single source of truth. Block-level fruit receipts roll forward into vintage cost by label. Wine Australia Export Approval data flows automatically from ERP and CRM into the required portal submission format. An allocation model in Dynamics 365 controls which distributor, which market, which label, and which vintage, with release gates that prevent double-allocation. Cellar door Square data is synced daily into the customer record so club members, trade, and walk-in visitors sit in one CRM view. Power BI dashboards show vintage margin by label before bottling decisions are made.
