Challenge

The company was spending the final week of every month manually assembling Commonwealth contract reports from ERP, project, and timesheet data. Compliance checks were run ad-hoc by the operations team with no consistent audit trail. The same capability and compliance data was being re-keyed by hand into multiple Commonwealth portals each quarter. Senior engineering time was being consumed by paperwork instead of technical delivery.

Solution

We designed and built a Power Platform solution with three components: (1) a Power Automate flow that pulls data from Business Central, Azure DevOps, and the timesheet system, assembles the monthly Commonwealth report against the required template, and routes it through an internal approval chain before submission; (2) a Power Apps-based compliance workflow with configurable checks, approval logic, and a full audit trail of who approved what, when, and on what basis; (3) custom connectors and Power Automate Desktop flows that keep capability statements and compliance attestations synchronised between internal systems and the portals the contractor submits to. The solution was delivered inside the existing Azure Australia tenant with Essential Eight ML2 controls maintained throughout.

Eliminated

We got our engineers back. Sixty hours a month that was going to paperwork is now going to the thing we’re actually paid to build. The automation has a cleaner audit trail than the manual process it replaced.
